1.1 CORE FACTOR PILATES is committed to protecting the privacy of its clients and visitors in person at venues and online. This privacy policy ('Privacy Policy') is intended to inform you on how CORE FACTOR PILATES collects and uses your Information as defined below.

1.2 It applies to Information collected by CORE FACTOR PILATES or provided by you, whether in person at a venue class, online by Zoom, by Email or by visiting the Web site by whichever device you use, the CORE FACTOR PILATES WIX App or in any other way of communicating, including phone calls, text messages and social media platforms. The intention is to help you in making informed decisions when using the CORE FACTOR PILATES Web site, WIX App, Pilates venue and online Zoom classes, services and products. Please read and understand the policy.

1.4 Elizabeth Reid T/A CORE FACTOR PILATES is the controller of your Information for the purposes of the GDPR and Elizabeth Reid is registered as a Sole Trader.
2. What Information is Collected on the Web site?
2.1 When you visit the CORE FACTOR PILATES Web site by whichever device you use, you may provide CORE FACTOR PILATES with personal information such as name, address, Email address, mobile number, health conditions, credit, debit, or PayPal account details and information about your family or friends who may be interested in the services of CORE FACTOR PILATES ('Information'). You may provide CORE FACTOR PILATES with Information in a number of ways:
a) by supplying CORE FACTOR PILATES with the Information as listed above, on an individual basis by registering as a registered user or by subscribing to receive updates from CORE FACTOR PILATES. To become a registered MEMBER of CORE FACTOR PILATES you provide your name, address, postcode, E-mail address and mobile number including additional information if you choose to.
b) by corresponding with CORE FACTOR PILATES by E-mail, in which case CORE FACTOR PILATES may retain the content of your E-mail messages together with your E-mail address and our responses to you;
c) by booking a Pilates class or course at a venue or on Zoom, purchasing any Pilates product from the SHOP on the Web site or by direct contact with CORE FACTOR PILATES
d) through any preferences and areas of interest as advised by you on contacting CORE FACTOR PILATES
e) by Information provided when you use the CORE FACTOR PILATES WIX App (see below); and
f) by Information provided when you use the CORE FACTOR PILATES Web site using any device by you, including details of your physical location, where you have agreed to it being used.
2.2 Occasionally, CORE FACTOR PILATES may give you the option to provide Information about other people you know who may be interested in accessing the services of CORE FACTOR PILATES.
2.3 CORE FACTOR PILATES may collect Information about your computer, including where available your IP address, operating system, browser type and the geographical location of your computer, for system administration purposes. CORE FACTOR PILATES may also report aggregate information to its advertisers. This is statistical data about browsing actions and patterns and does NOT identify you as an individual.

3. What Information is collected on the WIX App?
3.1 When using the CORE FACTOR PILATES WIX App, you may provide the following Information:
a) your name and contact details (Email address and mobile number), if you use the App to communicate, book a class or course or access the shop.
b) further information (details about other members of your family or friends who might be interested in the services of CORE FACTOR PILATES, if you use the App to register as a registered user or book a class or course. To become a registered user you need to provide your name and E-mail address but you may also provide additional information if you choose to do so;
c) information which allows CORE FACTOR PILATES to identify your credit or debit account details to complete a card or BACS transaction with you
d) your physical location at a venue or Zoom class and
e) other Information that may be provided by you when adding content to the CORE FACTOR PILATES WIX App or to the CORE FACTOR PILATES social media pages such as Facebook, Instagram and Twitter.

4. What Information is collected at a venue class or elsewhere?
4.1 When you are present at a CORE FACTOR PILATES venue and Zoom class, we may collect the following Information;
a) your attendance and date of attendance
b) name and contact details, E-mail address, address and postcode, mobile telephone number and health conditions
c) your physical location, whilst you are present at the venue class only
5. How your Information is used
5.1 CORE FACTOR PILATES holds, uses and discloses your Information for legitimate business purposes including:
a) to keep you updated about important changes to the business of CORE FACTOR PILATES;
b) to market products and services directly to you, advise you of news updates, events, promotions and competitions and other information relevant to providing Pilates classes at venues and on Zoom, including sending CORE FACTOR PILATES newsletters. You may opt-out of receiving such communications at any time by E-mailing admin@corefactorpilates.co.uk or messaging CORE FACTOR PILATES directly by text, phone call, social media or any other communication. Regulation 22 of the Privacy and Electronic Communication Regulations allows CORE FACTOR PILATES to send direct electronic marketing to you about the same or similar products and services you have ordered or booked from CORE FACTOR PILATES, as long as you are given an opportunity to opt out at the point of the data collection and in every subsequent message;
c) to answer your queries;
d) to release Information to regulatory or law enforcement agencies, if CORE FACTOR PILATES is required or permitted to do so.
5.2 CORE FACTOR PILATES may process certain sensitive personal data (known as special category data in GDPR) where you include it in information you send to CORE FACTOR PILATES, e.g. if you include information about your health in booking a class or course. CORE FACTOR PILATES has processes in place to limit our use and disclosure of such sensitive data other than where permitted by law.

6. The legal basis for processing your Information
6.1 Under GDPR, the main grounds that CORE FACTOR PILATES rely upon in order to process your Information are the following:
a) Necessary for compliance with a legal obligation – CORE FACTOR PILATES is subject to certain legal requirements which may require the processing of your Information. CORE FACTOR PILATES may also be obliged by law to disclose your Information to a regulatory body or law enforcement agency;
b) Necessary for the purposes of legitimate interests - either CORE FACTOR PILATES or a third party, will need to process your Information for the purposes of CORE FACTOR PILATES (or a third party's) legitimate interests, provided CORE FACTOR PILATES have established that those interests are not overridden by your rights and freedoms, including your right to have your Information protected. Our legitimate interests include responding to requests and enquiries from you or a third party, fulfilling Pilates classes and course sales, including Web site shop or direct sales, gift cards or card payment sales in person, optimising CORE FACTOR PILATES Web site and client experience, informing you about CORE FACTOR PILATES products, services and other information CORE FACTOR PILATES think you will be interested in based on your interactions with CORE FACTOR PILATES and purchase history and ensuring that CORE FACTOR PILATES operations are conducted in an appropriate and efficient manner;
c) Consent – in some circumstances, CORE FACTOR PILATES may ask for your consent to process your Information in a particular way.

7. How your Information is shared
7.1 In certain circumstances CORE FACTOR PILATES will share your Information with other parties. Details of those parties are set out below along with the reasons for sharing it.
a) Other parties within CORE FACTOR PILATES: Your information may be shared with the Administration Manager in order to process your request to attend venue or Zoom classes.
b) Trusted third parties: In order to provide certain services, CORE FACTOR PILATES will share your information with third party service providers such as IT infrastructure companies, E-mail logistics providers, Accountant and card payment provider Zettle. There is a separate CORE FACTOR PILATES and ZETTLE Privacy Policy available. E-mail, message or send your request in writing to the address above. CORE FACTOR PILATES will not share your data with any third party where it is not necessary to do so to provide a service to you.
c) Regulatory and law enforcement agencies. As noted above, if CORE FACTOR PILATES receive a request from a regulatory body or law enforcement agency and if permitted under GDPR and other laws, we may disclose certain personal information to such bodies or agencies.
8. How long we hold your Information
CORE FACTOR PILATES will only retain your Information for as long as is necessary for the purpose or purposes for which it has been collected. The criteria that CORE FACTOR PILATES uses to determine retention periods will be determined by the nature of the data and the purposes for which it is kept. For example, if CORE FACTOR PILATES receive your Information through a competition entry, your data is retained for as long as is necessary to administer the competition. If your Information is received when you enquire about Pilates classes or book a class or course, your data is retained for as long as is necessary to process your request, booking and top maintain your Membership. If you have consented to receive direct marketing, CORE FACTOR PILATES will not directly market to you for longer than three (3) years from the date you last enquired or booked a class or course, unless you consent to receive direct marketing before the expiry of that three (3) year period. In certain circumstances, once CORE FACTOR PILATES has deleted or anonymised your data, CORE FACTOR PILATES may need to retain parts of it (for example, your Email address), in order to comply with our obligations under GDPR or other legislation or tax and accountancy requirements.

9. Your rights relating to your Information
9.1 You have certain rights in relation to personal information CORE FACTOR PILATES hold about you. Details of these rights and how to exercise them are set out below. CORE FACTOR PILATES will require evidence of your identity before being able to act on your request.
a) Right of Access. You have the right at any time to ask CORE FACTOR PILATES for a copy of the Information about you that is held and to confirm the nature of the Information and how it is used. Where CORE FACTOR PILATES has good reason and if the GDPR permits, CORE FACTOR PILATES can refuse your request for a copy of your Information or certain elements of the request. If you request is refused or any element of it, reasons for doing so will be provided to you.
b) Right of Correction or Completion. If Information held about you is inaccurate, is out of date or incomplete and requires amendment or correction you have a right to have the data rectified, updated or completed. Please let CORE FACTOR PILATES know by E-mail or the address set out above.
c) Right of Erasure. In certain circumstances, you have the right to request that Information CORE FACTOR PILATES hold about you is erased e.g. if the Information is no longer necessary for the purposes for which it was collected or processed or the processing of the Information is based on your consent and there are no other legal grounds on which the Information may be processed.
d) Right to Object to or Restrict Processing. In certain circumstances, you have the right to object to CORE FACTOR PILATES processing your Information by E-mailing or writing to the address set out above. For example, if CORE FACTOR PILATES are processing your Information on the basis of CORE FACTOR PILATES legitimate interests and there are no compelling legitimate grounds for CORE FACTOR PILATES processing which override your rights and interests. You also have the right to object to use of your Information for direct marketing purposes.

9.3 Most of the above rights are subject to limitations and exceptions. CORE FACTOR PILATES will provide reasons if unable to comply with any request for the exercise of your rights.

10. Consent
To the extent that CORE FACTOR PILATES processes your Information based on your consent, you have the right to withdraw your consent at any time. You can do this at any time by sending a request by E-mail, text message, social media message or write to the address as above.

11. Cookies
11.1 Similar to other commercial Web sites, CORE FACTOR PILATES Web site is created by WIX, who use a technology called 'cookies' and Web server logs to collect information about how our Web site is used. A cookie is a very small text document, which often includes an anonymous unique identifier. When you visit a Web site, that site's computer asks your computer for permission to store this file in a part of your hard drive specifically designated for cookies
11.2 Information gathered through cookies and Web server logs may include the date and time of visits, the pages viewed, time spent visiting the CORE FACTOR PILATES Web site and possibly the Web sites visited, including search engine used just before and just after CORE FACTOR PILATES Web site.
11.3 Cookies, in conjunction with CORE FACTOR PILATES and WIX's Web server's log files, allow CORE FACTOR PILATES to calculate the aggregate number of people visiting the Web site and which parts of the Web site are most popular.
